Texas Farmers Market - Operations Assistant

Position Title: Operations Assistant
Reports to: Director of Operations
Classification: Part-time, 10-15 hours p/ week. Pay commensurate with experience

Texas Farmers’ Markets at Lakeline and Mueller are organized under F2M Texas, a 501(c) 4 nonprofit corporation that provides Central Texas farmers and ranchers beneficial, direct-marketing opportunities and provides Central Texans a wide variety of locally-produced foods in convenient locations. F2M Texas also educates the public about nutritional, economic, environmental, and social implications of eating seasonally and locally

Position Summary:
The Operations Assistant completes a variety of operational and administrative tasks for Texas Farmers' Markets, overseeing three markets in Austin, Texas. The Operations Assistant performs regular duties including but not limited to data entry, financial reconciliation, and onsite staffing. The Operations Assistant identifies and capitalizes on any and all opportunities to support the TFM administrative leadership team

Major Responsibilities:
-Reports to Director of Operations for assignments and feedback. Meets weekly to discuss status of current projects and to take on new and shifting tasks. Pilots the Operations Assistant role by regularly checking in to discuss effectiveness and maintaining flexibility as responsibilities are adjusted
-Receives raw data from Director of Operations on a weekly basis. Inputs figures to support grant funding related to Food Access and compost and waste management amongst other projects. Documents and reports at regular intervals or as needed for each grant or sponsored project
-Joins weekly conference call to maintain awareness of current and future TFM undertakings, and to identify opportunities to aid operations. Contributes to meeting with updates and makes notes of supplemental administrative tasks
-Edits and sends weekly vendor invoices according to attendance. Cross references invoices with payment information as listed on market layouts. Adjusts monthly invoices and helps with tracking annual membership and contract renewals
-Assists Director of Operations with purchasing. Improves spending by sourcing market supplies at better value. Completes purchase orders and makes pickups from ground sites. Provides receipts and order summaries for proof of purchase
-Visits storage to retrieve items as needed. Conducts regular inventory of supplies in trailers and offsite units. Cares for equipment and brings it in for scheduled maintenance or miscellaneous repairs
-Supports TFM staffing by working onsite during special events or as stand-in for Operations Team positions
-Checks TFM post office box and delivers mailing to Director of Operations at in person meetings
-Updates emergency contact lists with the addition of new vendors
-Retrieves Food Access materials from partners during high volume seasons
-Communicates with vendors, volunteers, and event contacts as needed
-Attends periodic TFM meetings and trainings
-Assists with Operations and staffing elements of the Austin Fermentation Festival
-Covers various Director of Operations tasks in their absence on an as needed basis

Knowledge, Skills, and Abilities:
-Excellent verbal, written, interpersonal and communication skills
-Attentive to details and displays a strong aptitude for organization
-Time management skills and self-motivating focus required for working from home
-Strong customer service skills- displays enthusiastic, outgoing, and helpful behavior
-Ability to finish projects with minimal management
-Aptitude for prioritizing and completing multiple tasks within time restraints
-Competent in MS Office and of web-based applications
-Experience with Emma, MailChimp, and Sales Force preferred
-Comfortable working with numbers, bookkeeping and POS technologies
-Willingness to learn and expand job skills
-Flexible time schedule to accommodate variable hours and market activities required
-Must have reliable transportation and access to a computer with internet connection and printer

Education/Experience:
-Bachelor's Degree or higher preferred
-Passion for farmers' markets, local food and sustainability desired

Physical Requirements:
-Must be able to work in field and markets that operate rain or shine
-Should be able to lift ~50 lbs. and stand, walk, or sit for prolonged periods of time
